Prior to implementing R2 at EPS in October of 2006, we used MYOB for our
invoicing and a series of inferior inventory programs to control our assets. Our
business had grown exponentially from where it was a couple of years prior and
we had drastically outgrown our infrastructure. The growing pains of keeping up
with invoicing and inventory control were causing severe delays in billing our
clients, forcing us to expand our workforce to compensate for an inefficient
workflow. We needed a solution and began researching asset management software
Xytech, Rental Point and R2. After thorough demos with representatives from each
of the software companies, we were happiest with R2’s performance and also felt
an additional sense of security in knowing that the Unique Business Systems
headquarters is located in Santa Monica, relatively close to our own
headquarters in Studio City. Implementing R2 after we had already acquired 22,000 serialized assets was a daunting task, but R2’s user-friendly learning curve, compounded with data migration support from UBS, enabled us to launch our Go-Live date within just a few months. UBS’ willingness to conduct weekend training sessions for our staff also helped us immensely, since we did not have to interrupt our daily operations to train our workforce. After implementation, R2 quickly became the backbone of our company, managing our rental transactions from the order-taking process through invoicing. What had once been a laborious task of inventory control and invoicing with inferior programs, was now a streamlined process that created a solid infrastructure that has allowed us to grow to control over 55,000 assets throughout five separate offices across the country, conduct an average of 50 transactions per day and generate an average of 125 invoices per day, which we then export to Microsoft Dynamics for Accounts Receivable. R2’s ability to generate Inventory Purchase Orders and Sub-Rental Purchase Orders has finally allowed us to easily track the inputs and profit margin of each of our rental transactions, something that we simply could not achieve with our previous system. The most important feature of R2 for me, however, is the Reports Module. Within seconds, we can run reports that list the past and current locations of any and all of our assets, including those that we have sub-rented from other vendors; report our gross revenue and profit margin; track the performance of our Sales department; report the product utilization and financial utilization of each of our assets; and numerous other reports. R2 has forever changed the way we do business and we are confident in the stable infrastructure it has helped us create, enabling us to focus on the continued expansion of our business. |
